The 5 Steps From Inquiry To First Shipment

Here is the actual sequence of an OEM program at SVC — from the first contact to the container leaving Cat Lai or Cai Mep port.

Inquiry & Product Brief
The buyer submits a product brief: grade or product type, target moisture and defect specification, packaging format, label requirements for the destination market, and target volume. SVC reviews the brief and confirms feasibility, pricing, and lead time within 48 hours. If the brief is incomplete, SVC’s OEM team guides the buyer through the specification process — many buyers come with a concept rather than a finished spec, and that is a normal starting point.

Sample Development & Approval
SVC produces samples to the agreed specification. For raw kernel grades, samples include a CoA with moisture, broken kernel %, colour grade, and defect count measured against AFI standards. For roasted or flavoured products, samples include the full flavour and texture profile with documented processing parameters. Samples are shipped via courier within 5–7 working days of brief confirmation. The buyer tests and provides feedback. SVC adjusts and re-samples if needed — typically 1–2 rounds for standard products, up to 3 rounds for novel flavours. Sample approval is confirmed in writing before production is scheduled.

Packaging & Label Approval
This is the step most buyers underestimate in timeline planning. Packaging for retail requires: artwork design or buyer-supplied artwork, label compliance verification for the destination market (EU, UK, US, Middle East each have different requirements), printing production, and a pre-production packaging approval before the production run starts. SVC manages the full packaging coordination or works with buyer-appointed suppliers. Label compliance is checked against destination market regulations — ingredient listing format, allergen declaration, nutritional panel, country of origin, and any market-specific requirements (e.g. Arabic language for GCC, FDA nutrition facts format for US). A pre-production packaging sample is approved in writing before line start.

Production & Quality Control
Once product and packaging are approved, the production run is scheduled. For OEM orders, SVC assigns a dedicated production batch with a separate batch code for full traceability. During production, SVC QC monitors: moisture at post-drying and pre-packing stages, colour sort performance and manual inspection results, packaging seal integrity, label accuracy against approved artwork, and correct net weight. A full Certificate of Analysis is produced for the batch, referencing AFI standards and any buyer-specific parameters. The buyer receives the CoA before the container is sealed.

Documentation, Loading & Shipment
SVC prepares the full export documentation package: Commercial Invoice and Packing List, Certificate of Analysis, Certificate of Origin (Form D for ASEAN preference, EUR.1 for EU, or general CO), Phytosanitary Certificate, Halal or Kosher certificate (where applicable), and FSMA/FDA Prior Notice for US-bound shipments. Container loading is conducted under SVC supervision with carton count verified, container temperature checked, and load position documented. The buyer receives a complete documentation set digitally before the container departs, with originals couriered to arrive before or with the shipment.
